My accounting firm - Company routines
This is how the accounting firm manages its internal routines in Sticos Oversikt.
Routines for the company
Under the menu item My company - Routines for the company in Sticos Oversikt, you will find the routines for your accounting firm.
Manage routines
Create new routine
The Manage tab under My company - Routines for the company is available to the person(s) who has the role of general manager, quality manager, money laundering manager or IT manager.
- To add a new routine for the company, click Create new.
- Fill in information in the blank routine for a full description of the routine, who is responsible for preparation, maintenance and follow-up, and which work processes the routine is linked to. You can add multiple responsible persons and multiple work processes.
In the content box on the right, you will see a summary of the work processes in the routine, and you can easily navigate through this by clicking on a specific process, as well as change the order by dragging the dots in the Content Box.
- Drafts of the routine will be saved continuously through autosave.
- When you have finished preparing the routine, click Publish at the top right.
In the pop-up that appears, you can choose whether this is a small change that does not require Read and understood from employees or whether it is a new version that should be published and read and confirmed by employees.
The small change will be included in the next publication of a new version.
In the overview of routines, you will see several tabs:
Routine - Title of the routine
Version - A change that is published will become a new version.
Published - Shows the date and time of the last publication
Published by - Shows the person who pressed the publish button.
Status - There are three statuses: Draft, Active, Expired
- Draft - This version has not been published yet, and is "in progress"
- Active - Current version
- Expired - Previous version that is no longer current
Confirmed read by - How many employees have read it out of the total number of employees. Click on the numbers and you will get more specific information about who has read and who has not read it. After 7, 14 and 21 days, an automatic reminder will be sent to those who have not clicked on The content has been read and understood.
Actions - Here you have two choices by clicking on the dots:
- Delete draft. The button can only be used if it is a draft.
- Set routine as expired. The routine will have the status Expired and it will no longer be shown to employees as Read routine.
In the current routine, you will find a history of all versions of the specific routine. Tap on the routine and at the bottom of the routine you will see the version history.
All routines can be downloaded as a PDF by tapping Download.
Changes in a version
When you make changes to a published version, we use AI to suggest a summary of your changes. These will appear at the top of the new version.
- Click edit
- Make your changes
- Click the "Get automatic change suggestions" button at the bottom of the document. By clicking Changes under Contents to the right of the document, you will go directly to "Get automatic e amendment".
- You will receive a summary proposal that can be edited before publishing
- Publish
- In the new version, the changes will appear at the top of the document
You can choose whether or not to use the amendment proposal. If you choose not to use the amendment proposal (do not press the button), the changes will not appear in the new version of the document.
