How to manage assignments in Sticos Oversikt

A task can be edited at any time in Sticos Oversikt when a change has been made to an existing task. 

 

  • To edit tasks in Sticos Oversikt, go to Assignments - Task Overview. Click on the task you want to edit. 
  • Make the desired changes, such as editing deadlines or responsible for the assignment.
  • Click Save assignment. 
  • A wizard will take you through what has been changed in the assignment. Scroll through by clicking Next.
  • When you get to the Select date point in the wizard, you must select the date from which you want the change to apply. 

When an assignment is edited, the original assignment will be deleted and a new assignment will be created with the changes. The date you set in Select date is the date from which the new assignment will be created.

All tasks in the original assignment will be retained, up to the date you set in Select date.

The tasks in the original assignment with a deadline after the date you set here will be retained if the task has a status of Completed, In progress, Quality assured, Follow-up or Not applicable.

Tasks with a due date after the date here that have the status Not started will be deleted and new tasks will be created. 

  • In the Select date section of the wizard when you edit the task, you will be asked if you want to Delete overdue deadlines. Check this option if you want all tasks with a due date up to the selected date to be deleted. It is important to be up to date with the task if you choose to delete overdue deadlines. When overdue deadlines are deleted here, these are tasks with a deadline before the selected date, which have the status Not started

Duplicate tasks can occur if you have worked on a task with a deadline after the selected date, and for example set it to In progress. When the change is saved, the task with the status In progress will be retained, while the same task will be created again since the deadline is after the selected date. This new task then has the status Not started

  • Exit the wizard and complete the edit by clicking Done under Summary. The Done button is only visible if you have actually made a change to the task. It is not possible to simply change the start date or deadline - from date.

Edit assignment template

When you need to change the content of multiple assignments that originate from the same assignment template, you can edit the assignment template and transfer the change to all or some of the assignments associated with the template. 

  • To edit the assignment template, go to Administrative - Assignments - Assignment Template. Click on the assignment template you want to edit.
  • Make the desired changes.
  • Click Save assignment template. 
  • A wizard will take you through what has been changed in the assignment. Scroll through by clicking Next.
  • N When you reach the Select customers item in the wizard, you will see which customers have assignments based on this assignment template. Uncheck the customers you do not want to extend the change to. 
  • When you reach the Select date item in the wizard, you must select the date from which you want the change to apply.

When an assignment is edited, the original assignment will be deleted and a new assignment will be created with the changes. The date you set in Select date is the date from which the new assignment is created.

All tasks in the original assignment are retained, up to the date you set in Select date.

The tasks in the original assignment with a deadline after the date you set here will be retained if the task has the status Completed, In progress, Quality assured, Follow-up or Not applicable.

  • Exit the wizard and complete the edit by clicking Completed under Summary. 

Deviation from template

Assignments with deviations from template are no longer linked to the assignment template. When creating or editing assignments, some changes will create deviations from template. Deviations from template occur when you perform the following changes:

  • Adding new tasks.
  • Changing the description of the assignment.
  • Changing the description of tasks.
  • Changing the name of tasks.
  • Changing the selection Include in assignment agreement. This marking can be found both on the assignment itself and on each individual task. 

  • Changes to the marking Include description in assignment agreement

If there is a discrepancy, changes you make to the assignment template will not be automatically updated on this assignment. There is nothing wrong with having deviations from the template, but to maintain a standardized practice across clients, we recommend keeping the number of assignments with deviations to a low level. 


Delete assignments

  • To delete a single assignment in Sticos Oversikt, go to Assignments - Assignment Overview. 
  • Click on the trash can in the column on the right. 
  • Confirm the deletion by clicking Yes. 

When you delete the assignment, all tasks with the status Not started will be deleted. Tasks with other statuses will be retained. Make sure that there are no documents and/or comments on the tasks that are being deleted.
