We already have a subscription to Visma Sign. Will signatures from Sticos Oversikt be merged with this solution? 

No, you will not be able to see signatures sent from Oversikt in your Visma Sign subscription, so you will have to choose whether you want to continue using your existing Visma Sign agreement and upload documents and send them from there, or whether you want to use the solution in Sticos Oversikt.

My customer (the customer of the accounting firm) is asked to create a user in Visma Sign. Should they do so?

They are welcome to do so. They will then have full control over all documents signed via Visma Sign in their own archive and will not need to contact the accounting firm to obtain a copy of the document. 

How does Visma Sign work for the end customer?

- When you send the document for signing, the customer will receive an email with an invitation to sign the document, along with a password via text message.
- They click on the link in the email and use the text message code to open the document.
- They must confirm their identity with BankID.
- Once their identity has been verified, they can sign the document.
- You will be notified by email when all parties have signed the document.

Menu item Signing

Here you will find an overview of the accounting firm's ongoing and completed signing orders. Signing orders are sent from the archive. The expiry date is 90 days after the order is sent. 

Settings

The administrator can customise the standard text that is included in the email when sending signing orders. Enter the desired text under Administrative - Settings - General - Signing and e-mail. (link to the correct page) Overview - General settings (sticos.no)

All customers/selected customer

Once you have selected a customer, only signing orders for that customer will be displayed. When you select all customers, all signing orders will be displayed.

Update signing status

Updates the status of signing orders. 

In progress

Here you can see all ongoing orders and the status of how many of the signatories have/have not signed. 

Completed

Here you can see all completed signing orders. This overview shows cancelled, expired and completed signing orders.

Search

In the search field, you can search for customers, document names and senders.

Expand

Opens all orders in the list and displays the signatories.

Opens only one order

Three dots

Tap the three dots on the right of the order for more options:

  • Update = Updates only this signing order.
  • Send reminder = Sends a new email and SMS to signatories who have not signed. 
  • View document = View the document once it has been signed.
  • Download = Downloads the document once it has been signed.
  • Cancel signing order = Cancels incomplete signing orders. Upon cancellation, no further automatic reminders will be sent. You cannot change this selection, but you can resend the order. 

Automatic reminder

Sent automatically 5 times after the order is sent, on days 3, 6, 12, 20 and 28.

Edit signatory

If you have entered an incorrect email address and/or telephone number for one or more signatories, you can edit this by expanding the signing order and clicking on edit signatory. When you save new contact information, a reminder is automatically sent to the signatory you have changed.

New statuses

Sent to Visma Sign

All signing orders receive this status upon dispatch. This means that we are waiting for the third-party provider Visma Sign to receive the order and send out emails and text messages. Once this has been done, the status will change. If there is a problem with the dispatch, you will see the status Failed. This means that there is something wrong with the order and it must be sent again:

  • Check the email address and telephone number.
  • Check that the document is not password protected.
  • Check that the document is in the correct PDF format.
